Optimall - Mobile Solution for Sales Force Automation


Optimall is our first embedded application for sales force automation. This application is installed on personal digital assistants (PDAs) and enables an effective management and operation of the sales force. By making use of our solution, sales agents no longer have to make calls to the headquarters whenever securing orders or checking for product availability. All the operations can now be run remotely, through satellite and Internet connections that offer instant access to the company's computer system.

Optimall offers sales agents direct access to the inventory data and can automatically generate daily reports; it can also include a merchandising module that is equally useful to sales agents and sales and marketing managers. This solution enables all parties involved to make the right choice in the shortest time possible.


Optimall: components and interaction.


Optimall is a modular system that enhances some specific distribution activities.

The Client Module - offers sales agents instant access to information on a certain client's balance, the number of previous invoices issued to that client, the values of the invoices, the client's credit/debit, etc. This feature can substantially shorten the time it takes to make the decision to have the product(s) delivered, leaving the agent more time to promote new products or to present more details about the product being currently promoted.

The Storing Module - enables accurate reporting on the number of products on stock at any given time. Depending on the versions of Optimall, this module can perform different functions.

With "Optimall basic", the module can only display inventory data available at opening time (first hour in the morning).

With "Optimall online", the module displays the inventory status at any given moment of the work day. At the end of the day, all the orders taken on that day are loaded on the server. The agent using "Optimall Online" has the possibility to work on a real inventory, and thus avoid taking orders that cannot be met.

The Reporting Module - can offer the sales supervisor accurate information on the activity of each sales agent and allows her to identify any slack (unproductive) time. The system records the time spent by the agent in a store (from the moment he/she reaches the store until the order is confirmed or the payment made).

The activity report provided for an agent includes: the number of customers visited, time of visit, travel time necessary to reach each customer, duration of visit, etc. This system has an important role in improving the sales agents' performance.

The Merchandising Module - a module that can be easily customized for each client. This module can store rules in its memory. Consequently, marketing and sales managers can lay out whatever rules they deem necessary and have them stored. The module allows for report generation on inventory, position of products on shelves, details on the main competitors (e.g. their positions and prices) and any other information useful for generating marketing strategies that will lead to improved financial performance. Using a PALM equipped with a digital camera, the sales agent can take pictures of his company's products and of those of his company's main competitors.

The Backoffice Module - collects and analyzes the information supplied by the sales agents. This module can be adjusted based on the customer's demands, allowing for the registration and processing of data. The acquired data is then converted into information and graphical representations that are highly useful to the marketing, sales, accounting, logistics departments.

With an extremely intuitive user interface, Optimall enables the user to get all the information on screen. To get the most up to date information the user only has to open some optional windows.

As a conclusion, Optimall is an optimizing tool for the sales process and the company's marketing policy. The product shortens the circuit of information and thus reduces delivery time and the payment periods. The required information is delivered to all parties in the shortest time possible and this creates the premises for quick and correct decision making.
